The software is primarily designed for use with Firefox version 3 and is also tested on Internet Explorer.
You must register to use the software. There is no software to install.
Free Accounting Software is multiple entity. All processing is done for a specific entity. You can gain access to an entity by creating the entity or another user may grant you access to one of their entities. Therefore your first task is usually to create a new entity.
After you log in click the button "New entity". Enter a description for the entity. You may add other things like your ABN identifier or address but it is not required. You may come back and change the details at any time. When you are finished click "Save".
Free Accounting Software uses a techonolgy known as XBRL, and you can import any XBRLGL data file. To find out more about XBRL visit XBRL International. To download an example XBRLGL file with a template chart of accounts click here. Go to the import page and upload this file.
Note that this import can be used for any XBRLGL data, which includes transactions as well as accounts, identifiers, measurables, job codes, taxes and you can export from other entities in Free Accounting Software.
If you are an Australian business you will probably want to set up some tax codes for GST purposes. Therefore you may also want to import this file
You may want to upload your letterhead so that the software can produce personalized sales invoices, cash receipts, purchase orders/invoices and remittance advices. To do this click "Letterhead Template Upload" and then click the "upload a new template" button. Your template file should be a pdf file. It should contain your corporate logo and address. You need to upload one template for each journal type:
Your template should contain 2 pages. The first page is the template for the first page and the second page is the template for all other pages. Here is an example sales invoice file.
You may optionally choose to share your access with another user. To do this you must first add them as a friend. They will have to confirm the friend request and then you can grant access. Click "Entity user access".
You may want to continue to set up some things.
Identifiers are your customers and suppliers. You will not be able to process sales or purchases until you have set up an identifier.
Measurables are items of inventory or time. By adding measurables to sales or purchases it adds detail to the invoices when printed.
Jobs are a way to group transactions. Jobs do not print on invoices.
